Recently we opened a new part of the Judge Rotenberg Center web site that is especially for parents and referring agencies. It is called the “Parent/Agency” site. This site enables both the parents and referring agencies to go online and see updated daily, weekly, monthly and yearly charts of a student’s behavior data. These are the very same charts that ourclinicians, program designers and case managers use to make decisions about needed changes in the students’ treatment programs.

Parents and referring agencies will also be able to view every single change that has been made in a student’s treatment program, as well as photos of the student, periodic reports on the student’s progress, report cards, etc. There is also a place where parents and referring agencies can send us email messages with suggestions, problems, etc. To be able to use this site, a special user name and password are required which may be obtained from our Student Services Department. Once a parent or agency obtains a user name and password, he/she may gain access to the records of a student(s) placed at JRC, but not to the records of any other student.

To enable you to try out this web site immediately, even without creating your own user name and password, you can use the user name "demo" and the password "demo4u." These will enable you to see a sample set of information about a fictional student named "Jane Smith" that we have placed on the site for demonstration purposes. The following is a step-by-step explanation of how to explore this demonstration site.
 


1.  First, go to the home page of the JRC web site (www.judgerc.org) which is shown
     below. Then click on the label "Parent/Agency Login" (see circle at bottom left) in
     the left-hand margin.


 


2.  After clicking on "Parent/Agency Login" (circled words in lower left panel), you are
     brought to a login page (see below) where you can use "demo" as the user name
     and "demo4u" as the password. (To reach your own child's actual data, instead of
     this sample demonstration data, you will need to get a special user name and
     password from our Student Services Department.)


 


3.  After logging in you will see a "profile" page containing photos of the student as well
     as of his/her Case Manager, Clinician and Teacher, as shown below.


 


4.  Clicking on "Charts" in the left margin (see arrow at top) brings up an updated
     version of each of the charts that are kept for the student's behavior categories. For
     example, this is the Daily chart for the behavior category "Disruptive Behaviors"
     (see circle at bottom). On this Daily chart each dot shows the total number of times
     the student showed behaviors in this general category on one day.


 


5.  Clicking on the words "Specific Behaviors" at the top of the chart (see arrow at
     top right) makes a window pop up (see arrow at left) that displays a list of all of the
     specific behaviors that are counted under the general category "Major Disruptive."


6.  Clicking on the word "Week" at the top of the chart (see arrow at top) brings up a
     weekly chart of the same general behavior category (Disruptive Behaviors) that
     was previously shown on a daily chart. On this weekly chart, each dot shows the
     total number of disruptive behaviors that occurred during that week.


7.  Clicking on the word "Month" (see arrow at top) brings up a monthly chart of the
     same general behavior category (Disruptive Behaviors) shown previously. On this
     monthly chart each dot shows the total number of disruptive behaviors that
     occurred during one month instead of one week as was the case in the previous
     weekly chart.


8.  You can also view the daily, weekly and monthly charts for any of the other general
     categories of behaviors being treated by clicking on the drop-down menu (see
     arrow at top). For example, this shows a daily chart for another general category -
     in this case, the Aggressive Behaviors (see circle at bottom) of the same student.


9.  Clicking on the words "Treatment Changes" at the top of the chart (see arrow)
     makes a window pop up that displays every change that has been made in the
     student's treatment program from the day of enrollment. Each change is dated.


10.  Clicking on the word "Documents" in the left margin (see circle at left) brings up a
        list of documents that are available to view. To view one of these documents --
        for example, a Quarterly Progress Report -- click on the "Open/Download"
        button to the right of the name of the file (see arrow at right).


11.  This is an example of a Quarterly Progress Report that can be viewed in this way.


12.  Clicking on the words "Report Cards" in the left margin (see circle at left) brings
        up the student's most recent report card broken down into categories of subject,
        quarter grade, and final grade.


13.  This is an example of a set of photographs of the student that can be viewed by
        clicking on the word "Pictures" in the left margin (see circle at left). Clicking on
        one of the small thumbnail versions of each photo (see arrow at right) makes the
        photo much larger.


14.  This is an example of a fully-sized photo that has been enlarged by clicking on the
        thumbnail version.


15.  Clicking on the word "Calendar" (see circle at left) brings up a student calendar
        that looks like this. The calendar shows each upcoming event relevant to the
        student or JRC in general. Events may include IEP meetings, DARs (Day at the
        Residence), and home visit.


16.  Clicking on the words "Email Suggestions" in the lower left-hand corner (see
        circle at bottom left) brings up a window (see arrow) in which the user can type
        in a message that will be sent immediately to our Student Services Department.
